Lambda Chi Alpha Risk Management Plan
General Emergency Procedure
In the case of a situation or incident, which may cause harm to any member(s) or the chapter house, the High Alpha, High Iota, or any officer should be notified immediately. As soon as prudent, the High Pi should also be notified. If necessary, emergency personnel shall be contacted, and the chapter house will be closed and only residents, advisers, appropriate university personnel, and emergency responders will have access to the house. If the facility is unsafe, members will meet at a predetermined place, or where directed by emergency personnel. The High Alpha will explain the situation and provide anticipated follow-up procedures. He will also clarify that the High Alpha and High Pi are the only spokesmen for the chapter. Parents will not be notified by any representative of Theta Pi Zeta or Lambda Chi Alpha. Notification is the sole jurisdiction of
the authorities.
In Case of Fire
In the event of a fire, the most important thing is to stay calm. Always sound the building fire alarms immediately. If the alarm fails to operate, warn other occupants by knocking on doors and shouting warnings. Call 911 from a safely located phone. Give as much information as possible to the dispatcher. Do not assume someone else has already notified the University Police. The University Police will immediately notify the Fire Department and dispatch officers to the scene. Do not hang up until told to do so by the dispatcher. Before opening a door, feel it with the back of your hand. If it is not hot, proceed with caution. If it is hot, do the following: Refrain from opening windows unless you are having trouble breathing. Seal cracks around the doors with towels, tape, bed clothing, or similar items to keep out the smoke. If you are trapped, hang a sheet, jacket, shirt, or other object out the window in order to attract attention. Shout for help. Call the University Police on the phone and tell them that you are unable to get out of your room. The University Police will be in direct radio contact with officers at the fire. Remain calm until firefighters reach you from the hallway or window. Their first duty upon arriving at a fire is to search for persons trapped inside the burning building. If you are able to leave the room, do so immediately and: take your key with you in case you are forced to return. Close all doors behind you as you exit. This will reduce the spread of smoke and lessen damage. Proceed to the nearest exit or stairway. If smoke, heat, or fire blocks your exit. Proceed to an alternate exit. If all exits from a floor are blocked and you are unable to get out, go back to your room and follow the previous steps. If smoke is present, keep low to the floor. Take short breaths to avoid inhaling any more smoke than necessary. Leave the building immediately. When the University Police and/or firefighters arrive, direct them to the fire. After exiting the building, do not congregate at or around building exits. Follow the directions of University Police and firefighters. DO NOT REENTER THE BUILDING FOR ANY REASON UNTIL THE FIRE DEPARTMENT HAS DECLARED IT SAFE.
Mixers and Open Parties
All mixers and open parties will be registered with the school in accordance with their policies. Social event attendance will not exceed 140 occupants total, at any given time, across the entire social space. Capacity will be monitored by sober monitors 1 and 2. With the discretion of these monitors, the capacity may be temporarily adjusted based on the needs of the chapter and the status of the event.
Food and non-alcoholic beverages
Salty snacks and cases of unopened water bottles will always be placed on the countertop of the front hallway leading to the house’s first floor living room. These snacks will be available to any guests at any time, and guests will be asked not to move them. If all unopened water bottles are consumed throughout the course of the event, guests will be able to fill up cups with water using the water dispenser located in the kitchen.
Sober Monitors
Each mixer and open party will be monitored by a minimum of 8 brothers or associate members. These brothers will remain completely sober for the entirety of the event. Failure to comply with expectations will result in social probation and appropriate fines as outlined in our bylaws.
Monitors will be assigned in the following manner:
• 2 TIPS trained monitors will be assigned to the bar.
• 6 sober monitors will be placed in strategic positions around the house to prevent, identify and address risks as they arise.
Responsibilities of Monitors
• Physical altercations and injuries will be handled by the nearest sober monitor with the assistance of other monitors when needed.
• In the event that our sober monitors are not able to adequately respond to any incident,
they or another brother will contact campus safety for immediate assistance at (717) 337- 6911.
TIPS Trained Servers: Barroom
• Follow all responsibilities and procedures as noted in the TIPS training
• Only serve individuals with official wristbands issued by the college stating they
are over the age of 21
• Serve each individual no more than 1 drink per hour of the event
• Track the number of drinks served to each individual
• Do not serve any visibly intoxicated individuals
Sober Monitor 1: Porch
• Lead Sober Monitor
• Regulate entrance into the house during the party
• Check student IDs to ensure that each guest is a student at Gettysburg College
• Track and restrict guest access to prevent overcrowding
• Assist in the execution of the orderly exit procedure in the case of an emergency evacuation
Sober Monitor 2: Top of the Front Stairwell, Next to Entrance
• Follow the instructions of the lead sober monitor
• May move to the porch at the instruction of the lead sober monitor
• Check IDs, compare IDs with master list of all students over the age of 21 provided by the college
• Only distribute the 21+ wristbands provided by the college to students on the college’s master list
• Ensure alcoholic beverages do not leave the house
• Ensure guests are directed downstairs and do not enter other parts of the house unless they are accompanied by a brother
• Assist in the execution of the orderly exit procedure in the case of an emergency evacuation
Sober Monitor 3: Bottom of the Front Stairwell
• Follow the instructions of the lead sober monitor
• Direct guests into the party room
• Ensure alcoholic beverages do not leave the basement
• Assist in the execution of the orderly exit procedure in the case of an emergency evacuation
Sober Monitor 4: DJ Booth
• Follow the instructions of the lead sober monitor
• Roam through dancefloor
• Observe party room to identify and address any issues or risks that may arise
• Notify other sober monitors in the event an issue arises
• Assist in the execution of the orderly exit procedure in the case of an emergency evacuation
Sober Monitor 5: Bathroom Hallway
• Follow the instructions of the lead sober monitor
• Observe hallway to identify and address any issues or risks that may arise
• Encourage guests to make their way back into the party room
• Prevent guests from using the back stairwell
