  • Gettysburg College Event Sponsorship Policy

    All organized events on the Gettysburg College campus must be scheduled in the 25Live Scheduling platform - this system is accessible to all students and employees of the college.

    All Events that occur on Gettysburg College’s campus must:

    • Have an eligible Event Sponsor;
    • Be registered through the College’s online Event scheduling software (25Live);
    • Have a College representative present or responsible for the Event;
    • Meet the definition of either a College-Sponsored Event or a Non-College Sponsored Event;
    • Comply with all College policies, local ordinances, and state and federal laws and regulations;
    • Be approved by appropriate entities as required by College policy or as a matter of an applicable Department’s business processes.

  • Open Scheduling and Prescheduled Events

    Scheduling for the next fiscal year (June 1st-May 31st) will open on April 15th. Any member of the Gettysburg college community - students, faculty, and staff - may scheduled events up to a full year in advance. Scheduling is typically prioritized on a first-come, first-served basis.

    A number of events have been classified as Major Events and/or Pre-Scheduled Events. These are annual events that are scheduled prior to the opening of the calendar to prevent major conflicts between them and any other Events. They typically require high profile venues or major support from multiple campus departments.

    The Major Events Committee also oversees the limitations placed on campus spaces for use by outside entities via Conference Services during the academic year.
